Etiquette For Graduation Announcements

Graduation announcement allow you to share your achievement with family and friends.


Earning a diploma or degree is an important milestone in a student's life. You can share your achievement with loved ones by sending out graduation announcements that detail your accomplishment. In addition to notifying recipients about your graduation, announcements may also serve as invitations to your graduation ceremony or a private celebration. Proper graduation etiquette dictates that announcement envelopes should be sent approximately two weeks before the event and addressed and arranged in the following manner.


Recipients


Send graduation announcements to your friends and relatives you wish to share your accomplishment with. Announcements may be accompanied by an invitation to the graduation ceremony or a graduation party. Announcements can also be sent to simply inform the recipient of your graduation.


To properly address your graduation announcements, hand-write the formal title and name of the recipient on the outer envelope. If your announcement is for a couple or family, write the names of both adults on the outer envelope. Children's names should appear only on the inner envelope that holds the actual announcements. Use black or blue ink and spell out common address abbreviations such as "Apartment" or "Street." Your return address should also be written in the upper left-hand corner of the outer envelope. On the inner envelope, use informal titles to address your recipient(s), such as "Grandma Janice" or "Auntie May."


Send Announcements


Graduation announcements should include two envelopes: one holds the announcement and is put into the larger envelope. Most announcements come with name cards with the graduate's name. Insert the name card into the name card holder in the announcement. If there is no holder, insert the name card into the fold of the announcement with your name facing up.


The announcement should be inserted fold-first with the front side facing the envelope's flap. Seal the announcement envelope with a foil seal. Do not tuck the flap into the envelope; leave it unsealed if you do not have foil seals. Your school may provide you with foil seals embossed with your school's logo if you order announcements through them.


Include a reply card if you are inviting your recipient to attend your ceremony or a graduation party. List a deadline for your recipient to reply before. When stuffing your envelopes, the announcement envelope should be inserted first with the flap side facing the mailing address. The invitation or ceremony ticket, reply envelope and reply card should be placed on top of the announcement in that order.


Time Frame


Send your graduation announcements by first-class mail approximately two weeks before your graduation. This allows enough time for your recipients to confirm attendance. If any recipients will need to make travel arrangements to attend your graduation ceremony or celebration, send their announcements at least six weeks prior to the event.


Announcements that only inform the recipient of your accomplishment and do not include an invitation to an event can be sent up to one month after the actual graduation. As a courtesy, you may wish to include a note that says "No Gifts" to recipients who are not invited to a celebration.
